Terms and Conditions

These Terms and Conditions (“Terms”) set out the rules for using Ballr’s websites and apps, including ballr.club, demo.ballr.club and app.ballr.club, and related features such as the Club Website API (together, the “Services”).
By accessing or using the Services, you agree to these Terms. If you do not agree, you must not use the Services.

1) Who we are
The Services are operated by Ballr Club Limited (company number NI736442), trading as “Ballr” (“Ballr”, “we”, “us”, “our”).
2) Definitions

Club
- A team/club or organisation using Ballr to manage a club page, player profiles, squads, posts, memberships and/or donations. Club Admin
- A person authorised to manage a Club’s account on Ballr (for example a manager, coach, or committee member). Member
- A person who pays a Club membership fee through the Services. Supporter
- A person who donates to a Club through the Services. Content
- Anything posted, uploaded, published, transmitted, or otherwise made available through the Services (including text, images, video, links, and comments). User Content
- Content submitted by users or Clubs (including by Club Admins and members). Player Profile
- A profile record created by a Club for team management (for example name/nickname, shirt number, position). Player Profiles are not user accounts. Fees
- Any subscription, platform fee, or transaction fee disclosed within the Services. Referral Programme
- Ballr’s optional club referral scheme described in these Terms, under which Clubs may share a Referral Code in connection with Ballr Plus subscriptions. Referral Code
- A unique code generated by Ballr for a Club and displayed in the Services for use in the Referral Programme. Referring Club
- The Club whose Referral Code is used by another Club when starting a Ballr Plus subscription. Referred Club
- A Club that enters a valid Referral Code when starting a Ballr Plus subscription and (where eligible) receives a first-month discount. Referral Discount
- A one-time reduction applied to a Referred Club’s first Ballr Plus subscription invoice (currently £10, or such other amount as Ballr may publish in the Services). Referral Credit
- A credit balance applied to a Referring Club’s Ballr Plus Stripe customer account (currently £5 per successful referral, or such other amount as Ballr may publish in the Services), usable only against that Club’s Ballr Plus subscription Fees. Club Website API
- Ballr’s optional API feature that allows an eligible Club to retrieve selected club data (such as club information, fixtures, results, player statistics, and feed posts) for use on the Club’s own website or other systems controlled by the Club. API Key
- A secret credential generated by Ballr for a Club that authenticates requests to the Club Website API.
3) Eligibility, accounts, and safety
3.1 Minimum age
You must be at least 13 years old to create a Ballr account or use account features. If we believe an account holder is under 13, we may suspend or delete the account and associated Content.
3.2 Under-18s
If you are under 18, you may only use the Services with the permission and supervision of a parent or legal guardian. The parent/guardian is responsible for your use of the Services and compliance with these Terms.
3.3 Player Profiles and youth teams
Clubs may create Player Profiles for squad management. Clubs must ensure they have the appropriate rights, permissions, and consents to store information in Player Profiles and to post Content featuring players, especially where players are children (under 18).
Clubs must not post children’s sensitive personal information (for example home address, personal phone number, school, or precise location). Clubs are responsible for safeguarding and supervision when children are involved in any way with Ballr, including Content posted by Club Admins about youth teams.
Some Ballr pages are public by design (for example club profiles, fixtures, results, club statistics pages listing player names, and individual player profile pages). Clubs are responsible for reviewing these visibility settings for their squads — including turning individual player profiles private, and removing the Club from public discovery — and for deciding what is appropriate where players are children. For data protection purposes the Club is the controller of Player Profile data; see section 17A (Data Processing Terms).
3.4 Account security
You are responsible for keeping your login details confidential and for all activity under your account. If you suspect unauthorised use, contact support@ballr.club.
4) The Services
Ballr provides a platform that can include club pages, a social feed, squad and matchday management, memberships and donations, and (where enabled for eligible Clubs) a Club Website API so Clubs can display selected Ballr data on their own websites. We may add, remove, or change features at any time.
5) Platform role and third-party services
5.1 Platform role
Ballr is a platform that helps Clubs run their club and, where enabled, collect memberships and donations. Clubs are responsible for their own club information, membership pricing and descriptions, and User Content, and for meeting any obligations that apply to them (including consumer, tax, and fundraising obligations where relevant). Ballr is not a party to the relationship between a Club and its Members or Supporters.
5.2 Payments and subscriptions (Stripe)
Payments and subscriptions are processed using Stripe. When you pay, your payment details are handled by Stripe. Stripe may apply fraud prevention measures, handle disputes/chargebacks, and may hold or reverse funds in certain circumstances. Your use of Stripe is also subject to Stripe’s terms and policies.
5.3 SMS/phone services (Twilio) and email delivery (Mailgun)
We may use Twilio to deliver SMS/phone-based verification or notifications, and Mailgun to deliver email. You are responsible for ensuring the contact details you provide are accurate and that you have the right to use them.
5.4 Analytics and advertising tags
On our websites we use Google Analytics and may use advertising tags/pixels (including Meta, TikTok, Google Ads, LinkedIn, and X) for measurement and marketing. These are loaded only after you consent via our cookie banner; until then they are not present on the page and set no cookies. You can change or withdraw consent at any time — see our Privacy Policy.
6) Club responsibilities (Club Admins)
If you operate a Club on Ballr, you are responsible for:
- Keeping club information accurate and up to date
- Ensuring you have rights to use club logos, photos, and other materials you upload
- Moderating and managing your Club’s community where needed
- Ensuring any content involving children is appropriate and permissions/consents are in place
- Handling queries from your Members and Supporters about membership fees and donations paid to your Club
- If you enable the Club Website API, securing your API Key and controlling how retrieved data is used and displayed on your club website or other systems
- Complying with your obligations as data controller under section 17A, including lawful basis, parental consent where players are children, and your own privacy information
6A) Club Website API
6A.1 Overview
Where available under your plan, Ballr may provide a Club Website API that lets your Club retrieve selected data from Ballr for display on your Club’s own website (or other systems you control). Typical data may include club profile information, fixtures, results, player statistics (such as names and match stats), and club feed posts. The Club Website API is intended for server-side use by the Club; Clubs must not expose API Keys in public client-side code.
6A.2 Control and authorisation
Enabling the Club Website API, generating or regenerating an API Key, and deciding what retrieved data to publish outside Ballr are actions controlled by the Club (typically Club Super Admins). By generating an API Key or using the Club Website API, the Club authorises Ballr to disclose the available API data to the Club and to systems that present a valid API Key for that Club.
6A.3 Club responsibilities for API use
If you use the Club Website API, you are responsible for:
- keeping API Keys confidential, rotating them if compromised, and revoking them when no longer needed
- ensuring you have appropriate rights, permissions, and consents to publish retrieved data on your website (including where data relates to children or Player Profiles)
- how data retrieved via the API is stored, displayed, cached, shared, or further processed on your website or by your service providers
- complying with applicable data protection and privacy laws in relation to any republishing of personal data
- using the API only for legitimate club website or club-operated purposes, within any rate limits and documentation Ballr publishes
Ballr is not responsible for the security, privacy practices, content, or compliance of a Club’s own website, nor for third parties who obtain data because a Club mismanaged an API Key or republished data.
6A.4 Changes and availability
Ballr may change, suspend, rate-limit, or withdraw the Club Website API (or specific fields/endpoints) at any time, including where a Club’s subscription lapses, an API Key is revoked, or we reasonably believe there is misuse or a security risk.
7) User Content, feeds, and moderation
7.1 Responsibility for User Content
Users and Clubs are solely responsible for their User Content. This includes ensuring Content is lawful, non-infringing, and appropriate. Ballr does not endorse User Content and is not responsible for User Content posted by Clubs, members, or other users.
You agree that if you are a Club Admin, you are responsible for the Content you post and for Content posted by anyone you authorise to post on behalf of your Club (for example additional admins). Player Profiles are not user accounts, but Clubs remain responsible for the data they enter into Player Profiles.
7.2 Content standards
You must not post, upload, share or otherwise make available Content that:
- is unlawful, defamatory, threatening, harassing, hateful, discriminatory, or bullying
- includes sexual content involving minors, or any exploitative, abusive, or endangering content involving children
- shares private or sensitive personal information (especially about children)
- infringes intellectual property rights or privacy rights
- contains malware, attempts to interfere with the Services, or enables unauthorised access
- impersonates someone else or misrepresents affiliation
- is spam, scam, or used to manipulate engagement
7.3 Licence to operate the Services
You keep ownership of your User Content. However, you grant Ballr a worldwide, non-exclusive, royalty-free, transferable and sublicensable licence to host, store, reproduce, modify (for example to resize or format), distribute, publicly display, and otherwise use your User Content for the purposes of operating, improving, and promoting the Services.
This licence ends when you delete the User Content or your account, except where your Content has been shared with others and they have not deleted it, where we must retain it for legal reasons, or where it remains in backups for a limited period.
7.4 Moderation and enforcement
We may (but are not required to) review, monitor, or moderate User Content. We may remove or restrict Content, limit visibility, or suspend/terminate accounts if we believe there is a breach of these Terms, a legal compliance risk, or a safety risk.
7.5 Reporting
To report Content or safety concerns (especially involving children), contact support@ballr.club with relevant details (links, screenshots, usernames, and dates).
8) Club memberships and donations
8.1 Who you are paying
Where a Club enables memberships or donations, payments are collected through Stripe into that Club's own connected Stripe account. The contract for membership of a Club, and the receipt of any donation, is between you and the Club — not between you and Ballr. Ballr provides the platform and charges a transaction fee (see section 9); it does not sell Club membership, does not hold Club funds, and is not the recipient of donations.
8.2 Memberships
A Club membership is a recurring subscription at the rate and interval the Club sets. Unless the Club states otherwise:
- it renews automatically each period until cancelled;
- you may cancel future renewals at any time through your Ballr account or by asking the Club;
- cancelling stops future payments but does not automatically refund the current period; and
- the Club decides what membership entitles you to, and may change or withdraw its membership offering.
Refunds of membership fees are a matter for the Club, because the Club received the payment. Contact your Club first. If you cannot resolve it, contact support@ballr.club and we will help where we reasonably can, including by putting you in touch with the Club.
8.3 Donations
Donations are voluntary payments to a Club. Because a donation is a gift rather than the purchase of goods or services, it is generally not refundable and consumer cancellation rights that apply to purchases do not usually apply. If you believe a donation was made in error or without authorisation, contact the Club and support@ballr.club as soon as possible.
Clubs are responsible for their own fundraising compliance, including any charity registration, Gift Aid, and the tax treatment of money they receive. Ballr does not provide tax or fundraising advice and does not administer Gift Aid.
8.4 Consumer rights
Nothing in this section removes rights you have under UK consumer law where they apply, including the right to services supplied with reasonable care and skill.
8.5 If a Club leaves or is suspended
If a Club stops using Ballr, has its account suspended, or disconnects its Stripe account, active memberships for that Club may stop renewing and the Club may lose access to Ballr features. Money already paid sits in that Club's Stripe account and is the Club's responsibility; Ballr cannot refund money it has never held. We will make reasonable efforts to notify affected Members where we suspend a Club's payment features.
9) Fees
We may charge Fees (for example subscriptions and/or transaction fees). Fees will be shown in the Services or otherwise communicated before they apply. We may change Fees by giving reasonable notice where practicable.
For Ballr Plus clubs, WhatsApp availability messaging is subject to a monthly usage limit of 20 WhatsApp messages per player included in your active Ballr Plus plan (for example: 50-player plan = 1,000 messages/month; 100-player plan = 2,000 messages/month; 150-player plan = 3,000 messages/month). If sending an availability request or reminder via WhatsApp would exceed your monthly limit, Ballr will automatically send that communication by email only for that send.
Ballr Plus transactions processed through Stripe (including club fees, donations, and other Stripe-powered transactions) are subject to a 2% Ballr transaction fee, which is charged in addition to Stripe’s own processing fees. Stripe’s current pricing information is available at https://stripe.com/gb/pricing.
10) Club Referral Programme
10.1 Overview
Ballr may operate a Referral Programme for Clubs. Participation is optional and forms part of these Terms. Unless Ballr states otherwise in the Services, where a Referred Club successfully starts a paid Ballr Plus subscription using a valid Referral Code: (a) the Referred Club may receive a Referral Discount on its first Ballr Plus subscription invoice only; and (b) the Referring Club may receive Referral Credit after the Referred Club’s first successful payment for that subscription.
Current standard amounts (which Ballr may change under section 10.9) are: £10 Referral Discount for the Referred Club’s first month, and £5 Referral Credit for the Referring Club per qualifying referral.
10.2 Nature of the programme
The Referral Programme is a promotional benefit offered by Ballr at its discretion. It is not a partnership, agency, employment, joint venture, or franchise between Ballr and any Club, and it does not create any obligation for Ballr to pay cash, make bank transfers, or settle amounts between Clubs. Ballr is not a party to any arrangement Clubs may make between themselves about sharing or promoting Referral Codes.
10.3 Referral Codes
Each Club may be assigned a Referral Code automatically. Codes are generated by Ballr; Clubs cannot choose, customise, or permanently transfer ownership of a Referral Code. A Referral Code remains Ballr’s property and may be revoked, regenerated, or disabled if we reasonably believe it has been misused or if the Club’s account is suspended or closed.
Club Admins are responsible for how their Club’s Referral Code is shared. Ballr is not responsible for codes shared publicly, intercepted, mistyped, or used by unintended Clubs.
10.4 Eligibility — Referred Club (Referral Discount)
Unless Ballr agrees otherwise in writing, a Referral Discount is only available where:
- the Club enters a valid Referral Code at Ballr Plus checkout (or during eligible onboarding checkout);
- the Club has never previously had a Ballr Plus (or other paid platform) subscription record on Ballr for that Club;
- the Referral Code is not the Club’s own code (self-referral is not permitted);
- the checkout completes and the first Ballr Plus subscription invoice is successfully paid (or otherwise confirmed as paid by Stripe); and
- the referral is not the result of fraud, abuse, or circumvention of these Terms.
The Referral Discount applies to the first Ballr Plus subscription invoice only. It does not apply to later billing periods, plan changes after the first invoice, Ballr Core (which has no subscription Fee), player membership fees, donations, or any other payment. If the discounted first invoice would otherwise be less than zero, the charge will not go below zero.
A Club that previously subscribed to Ballr Plus and later cancelled is not eligible for a further Referral Discount as a Referred Club for that Club account.
10.5 Eligibility — Referring Club (Referral Credit)
Referral Credit is awarded to the Referring Club only after the Referred Club’s first qualifying Ballr Plus payment succeeds. Abandoned checkouts, unpaid invoices, failed payments, and cancelled sign-ups before successful payment do not generate Referral Credit.
There is no maximum number of qualifying referrals a Referring Club may make, subject to Ballr’s right to investigate and refuse or reverse awards for abuse. Referral Credits stack and remain available until applied to Ballr Plus invoices or otherwise adjusted under these Terms.
A Referring Club does not need an active Ballr Plus subscription at the moment credit is awarded. Where the Referring Club has no Stripe customer for platform billing, Ballr may create one so that credit can be stored until the Club next pays Ballr Plus Fees.
10.6 Use of Referral Credit
Referral Credit is applied automatically by Stripe to future Ballr Plus subscription invoices for the Referring Club’s platform customer account. Referral Credit:
- may only be used toward that Club’s Ballr Plus (or other Ballr platform subscription) Fees;
- has no cash value and cannot be withdrawn, refunded, transferred to another Club or person, sold, or exchanged;
- cannot be applied to Club membership fees, donations, Stripe Connect payouts, or any third-party charges;
- is not interest-bearing; and
- does not entitle the Club to any ownership interest in Ballr or to any guaranteed free period beyond the credit balance actually available at invoice time.
If available Referral Credit is less than an invoice total, Stripe (or Ballr via Stripe) will charge the remaining balance to the Club’s payment method on file. If credit equals or exceeds the invoice, the Club may not be charged for that invoice period until remaining credit is insufficient.
10.7 Abuse, fraud, and clawback
You must not:
- create multiple Clubs, fake Clubs, or shell accounts to generate Referral Discounts or Referral Credits;
- use your own Referral Code for Clubs you control or are affiliated with in a way intended to self-deal;
- misrepresent the Referral Programme, guarantee outcomes you cannot control, or engage in spam, harassment, or misleading advertising when promoting a Referral Code;
- interfere with checkout, webhooks, or billing systems to obtain credit improperly.
If we reasonably believe a referral was obtained through fraud, abuse, error, or breach of these Terms, or if the Referred Club’s first payment is refunded, charged back, voided, or reversed, we may (without limiting other rights): withhold, cancel, or reverse Referral Credit; cancel or reverse a Referral Discount; suspend Referral Codes or programme access; and/or suspend or terminate accounts. We may recover amounts equivalent to wrongly obtained benefits by invoice, deduction from future credits, or other lawful means.
10.8 Taxes and accounting
Clubs are responsible for their own tax and accounting treatment of any Referral Discount or Referral Credit. Ballr does not provide tax advice. Referral Credit and Referral Discounts are promotional adjustments to Fees and are not wages, commissions, or consideration for services supplied by the Referring Club to Ballr unless required otherwise by law.
10.9 Changes, suspension, and ending the programme
Ballr may change Referral Discount or Referral Credit amounts, eligibility rules, or programme mechanics, or suspend or end the Referral Programme, at any time. Where practicable we will update the Services and/or these Terms. Changes will not retrospectively remove Referral Credit already validly awarded and unused, except where section 10.7 applies (abuse, fraud, error, refunds, or chargebacks) or where required by law.
Pending referrals that have not yet resulted in a successful first payment may be cancelled if the programme ends or eligibility rules change before payment succeeds.
10.10 No reliance; limitation
Ballr does not guarantee that any particular Club will subscribe, that a Referral Code will be accepted at checkout, that credit will appear by a particular date, or that the programme will remain available. Except where liability cannot be excluded by law, Ballr’s liability arising from the Referral Programme is subject to section 15 (Limitation of liability).
11) Intellectual property
Ballr’s software, branding, designs, and other proprietary materials are owned by us or our licensors and are protected by intellectual property laws. You must not copy, modify, reverse engineer, or distribute any part of the Services except where permitted by law.
12) Acceptable use
You must not:
- use the Services in a way that breaks any law or regulation
- attempt to gain unauthorised access to accounts, systems, or data
- scrape or harvest data without permission
- interfere with or disrupt the Services
- send unsolicited communications or spam through the Services
- abuse the Referral Programme (including the conduct listed in section 10.7)
- share, publish, or embed Club Website API Keys in publicly accessible code, or use another Club’s API Key
- use the Club Website API in a way that exceeds published rate limits, circumvents access controls, or resells Ballr data as a competing data service without Ballr’s written permission
13) Suspension and termination
We may suspend or terminate access to the Services (in whole or in part) if we believe these Terms are breached, if required by law, or to protect the integrity and safety of the Services. This includes suspending Referral Codes or Referral Programme participation.
14) Disclaimers
The Services are provided on an “as is” and “as available” basis. We do not guarantee the Services will always be uninterrupted, error-free, or secure. We do not guarantee the accuracy, legality, or appropriateness of User Content or club listings.
15) Limitation of liability
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under applicable law.
Subject to the paragraph above, to the maximum extent permitted by law, Ballr will not be liable for indirect, incidental, special, consequential, or punitive losses, or loss of profits, revenue, goodwill, or data, arising out of or in connection with your use of the Services.
Where we are liable to you, our total liability for claims arising out of or in connection with the Services will be limited to the greater of: (a) the Fees you paid to Ballr in the 3 months before the event giving rise to the claim; or (b) £100, unless a different limit is required by law.
16) Indemnity
If you are a Club or user posting Content, you agree to indemnify and hold Ballr harmless from claims, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from:
- your User Content (including content posted by Club Admins or anyone you authorise to post for a Club)
- your Club’s memberships and donations, including refunds, disputes, or chargebacks
- your breach of these Terms or applicable law
- your infringement of third-party rights (including intellectual property and privacy rights)
- your promotion or use of the Referral Programme (including misleading claims about discounts or credits, or spam or unlawful marketing when sharing a Referral Code)
- your use of the Club Website API, including disclosure or republishing of data on your club website or other systems, and any failure to secure an API Key
17) Changes to the Services or Terms
We may update the Services and these Terms from time to time. If we make material changes, we will post an updated version and update the “Last updated” date. Continued use means you accept the updated Terms.
17A) Data Processing Terms (Clubs)
This section applies where a Club uses Ballr to process personal data about players, members, supporters or other individuals. It forms the written contract required by Article 28 of the UK GDPR. Where it conflicts with the rest of these Terms, this section wins for data protection matters.
17A.1 Roles
For data a Club enters into or generates on Ballr — including player profiles, squads, availability, selections, lineups, match records, statistics, club feed content, membership records and the Club's donation records — the Club is the controller and Ballr is the processor.
Ballr is an independent controller for its own data, including user accounts, the Club's billing relationship with Ballr, website and app usage and security data, and support correspondence. That processing is described in our Privacy Policy.
17A.2 Subject matter and scope
Subject matter: provision of the Ballr platform. Duration: for as long as the Club's account is active, plus the retention periods described below. Nature and purpose: hosting, storage, organisation, retrieval, transmission and deletion of Club data to operate the Services. Types of data: names, contact details, dates of birth, gender, playing information, availability, statistics, images, payment and membership status, and any other data the Club chooses to enter. Categories of data subject: players (including children), club officials, members, supporters and followers.
17A.3 Ballr's obligations
As processor, Ballr will:
- process Club data only on the Club's documented instructions, which include using the Services as configured by the Club, unless we are required to do otherwise by law (in which case we will tell the Club unless the law prevents it);
- ensure people authorised to process Club data are bound by confidentiality;
- implement appropriate technical and organisational security measures;
- assist the Club, so far as reasonably possible, with responding to requests from individuals exercising their rights, and with data protection impact assessments and consultations;
- notify the Club without undue delay after becoming aware of a personal data breach affecting Club data;
- make available information reasonably necessary to demonstrate compliance with this section, and allow for audits on reasonable notice, no more than once a year unless a breach or regulator requires otherwise; and
- on termination, delete or return Club data as described in 17A.6.
17A.4 Club's obligations
As controller, the Club is responsible for:
- having a lawful basis for all personal data it enters into or generates on Ballr;
- obtaining any consents or permissions required, including from parents or guardians where players are children;
- providing its own privacy information to players, members and supporters;
- the accuracy of the data it enters, and deciding how long to keep it;
- configuring visibility settings appropriately, including whether player profiles are public and whether the Club appears in public discovery;
- deciding what to publish in the club feed, in match graphics, and via the Club Website API; and
- ensuring its instructions to Ballr do not put Ballr in breach of data protection law.
17A.5 Sub-processors
The Club authorises Ballr to appoint sub-processors to deliver the Services. Current sub-processors include our hosting and file storage providers, Stripe (payments), Twilio (WhatsApp messaging), Mailgun (email delivery), and push notification infrastructure operated by Expo, Apple and Google. We impose data protection obligations on sub-processors no less protective than these terms and remain responsible for their performance. We will give reasonable notice of any new or replacement sub-processor; if the Club reasonably objects on data protection grounds, it may end its subscription.
17A.6 International transfers
Some sub-processors operate outside the UK. Where Club data is transferred internationally, we use a transfer mechanism recognised under UK data protection law, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or reliance on adequacy where it applies.
17A.7 Deletion and return
A Club may export or delete Club data through the Services while its account is active. When a Club account is closed, we will delete or anonymise Club data within a reasonable period, except where we must keep limited records for legal, tax, accounting or security reasons, and except for backups, which are overwritten on our normal backup cycle.
18) Governing law and UK-wide consumer rights
These Terms are governed by the laws of Northern Ireland.
If you are a business user, you agree that the courts of Northern Ireland will have exclusive jurisdiction over any dispute arising out of or in connection with these Terms or the Services.
If you are a consumer living in another part of the UK (England, Wales, or Scotland), you may be able to bring proceedings in your local courts and benefit from mandatory consumer protections that apply where you live. Nothing in these Terms is intended to limit those rights.
